How to Manage Licenses

⚠️ Role required: The features described in this guide require the Organisation Administrator role. If you do not have this role, contact your organisation's administrator.

The Licenses page provides an overview of all licenses for your organisation and allows you to assign them to users and groups.

Navigation

Click on Licenses in the left sidebar or on the Licenses card on the home page.

License Overview

The Licenses page lists every license type, the number assigned versus the cap, and the users / groups consuming each license.

Licenses are grouped by environment. Use the filters to focus on:

  • Environment: Filter by specific environment
  • Number of available licenses exceeded: Licenses where usage exceeds allocation (highlighted in red)
  • Maximum number of licenses reached: Licenses at capacity (highlighted in yellow)

Each license row shows:

Column Description
Application The application the license belongs to
Type The licence type — Global, Named User, or Credit
License Name The name of the license
License Description A brief description
Licenses attributed Usage count (e.g., "3 / 123 available" or "0 / Unlimited")
Users Users with this license and how it was assigned (direct or group)
Groups Groups that provide this license

License Types

Type Description
Global Covers the entire organisation with no limit on the number of users (shown as "Unlimited")
Named User Individual license assigned to a specific user, capped at a fixed number of seats — cannot be shared
Credit A shared pool of credits consumed by users; only available for specific applications

Note: Some licenses are flagged as default and are assigned automatically to a user on their first login. A newly-created user may therefore show no licenses until they have logged in for the first time. Assigning a license also grants the user the application roles attached to that license, which are synced to the identity system and carried in the user's token at login.

Assigning Licenses

The license assignment dialog where you pick users and groups to grant a license to.

Licenses can be assigned directly to a user or to a group of users.

To assign a license:

  1. Click Assign next to the desired license. A panel slides in from the right.
  2. Select the users and/or groups to assign this license to.
  3. Click Apply.

Note: The size of each licence pool (how many seats your organisation has) is set by Discngine. You assign the seats you have to your users and groups; if you need more, contact Discngine.

Note: To completely remove a license from a user, ensure they are no longer part of any group to which this license is assigned.

💡 You can monitor license usage in real-time to ensure compliance and optimise resource allocation. When you exceed the number of available licenses, you will be notified to upgrade your plan.
